Cancellations, Lateness & No-Shows
-If you need to cancel or reschedule your appointment, we require a minimum of 48 hours notice in writing. This must be sent by text to 07544 867129 or by email to contact@glowmedicalaesthetics.co.uk. Requests made by any other method, including social media messages or verbal communication, cannot be accepted as valid notice.
-You may reschedule your appointment once free of charge, provided the request is made more than 48 hours before your appointment time. A second or subsequent rescheduling request, or any request made less than 48 hours before your appointment, will be treated as a late cancellation and a non-refundable fee of £50 will be charged.
-If less than 48 hours notice is given for a cancellation, or if you arrive more than 10 minutes after your scheduled start time, your appointment will be classed as a no-show and a non-refundable fee of £50 will be charged.
-All charges will be issued via email payment link. If payment is not received within 48 hours of the link being sent, the fee will be charged to your saved card. If no saved card is held on file, you will be contacted by phone or email to agree a payment method. If payment is not received within 72 hours of that agreement, this will be recorded as a failure to payand the client will be blacklisted from all Glow businesses. No future appointments will be available at Glow Medical Aesthetics or Glow Beauty Studio until the outstanding balance is cleared in full.
-Anti-Wrinkle Review and Consultation appointments are offered free of charge as standard. However, a £25 deposit is required at the time of booking to secure your slot. This deposit will be deducted from the cost of any treatment booked as a result of the consultation, provided that treatment takes place within 12 weeks.
-In the rare event that Glow Medical Aesthetics needs to cancel your appointment, you will be contacted as soon as possible and offered an alternative date. If no suitable alternative is available, your deposit will be refunded in full.
-Repeated no-shows or late cancellations may result in full payment being required in advance for all future bookings, or future appointments being declined at our discretion.

Attend alone
To ensure a fair and comfortable environment for all clients and staff within the building, we kindly ask that all patients attend their appointments alone. This includes no accompanying parents, children, friends, or other visitors.
Guests are welcome to wait outside the building or in a vehicle until the appointment is complete.
Failure to adhere to this policy will result in the appointment being cancelled, and the deposit will be forfeited. A new appointment will need to be booked.
GDPR Compliance
All client personal information, treatment notes, and images are stored securely and retained for five years in accordance with GDPR regulations.
As part of our legal duty of care, we are registered with the Information Commissioner’s Office (ICO), ensuring that all client data is handled safely, legally, and used solely for its intended purpose.
Clients have the right to withdraw their consent for the use of images at any time. This request must be made in writing via email or text message.
Conflict of Interest
Due to the professional roles our staff hold within public healthcare, we reserve the right to decline treatment to individuals who are known to us through those roles. This is to avoid a conflict of interest and to remain fully compliant with the Nursing and Midwifery Council (NMC) Code of Conduct, which all UK-registered nurses are required to uphold.
In such cases, we will be happy to refer you to a trusted local medical aesthetics practitioner.
